Planning Your Event

To ensure that your event is everything you envision and more, we kindly request that you book at least five business days in advance. However, we understand hat sometimes plans change unexpectedly. Please see our Express Menu for events that have a short lead time and we’ll do our best to accommodate your needs. When you are ready to order your catering you can review our menu or request a custom menu by clicking here

Custom Menus

For a truly customized experience, such as custom menus and themes, we kindly request a 10 business day notice to allow for thoughtful menu planning and sourcing of the freshest ingredients.

Guest Counts

Please provide us with the menu (including dietaryrequests), timing, and location in writing at least three business days before your event to ensure a seamless experience for all attendees. Please provide us with the final guest count three business days before you event. This number is considered the guaranteed guest count. If you have selected a plated meal option with personalized guest selections, we will request a seating chart, along with menu cards indicating the entrée preference.

Event Timing

Our structure is based on four-hour increments, allowing ample time for setup, service, and cleanup. Events exceeding this timeframe may be subject to additional service fees. We allocate a 90-minute service time for meals and receptions. Should your event require more time, please consult with our catering team for further assistance.

Billing & Payment

To streamline the process, we kindly request payment information be provided at the time of booking or five business days prior to your event. Credit card payments are subject to a 3.5% fee. A final invoice and survey will be sent within two business days after the event. Checks may be accepted for the full event amount and paid 7 days in advance of event with a credit card on file for any remaining balances. Off-campus partners or events require a 75% deposit at booking, with the balance due seven business days prior to the event. A credit card must be kept on file for any additional charges.

Tax Exempt

Please remember to provide tax-exempt forms to our office three business days before your event to ensure smooth processing. Taxes will be applied for nonexempt events.

Minimums and Fees

All orders are required to meet a food and beverage minimum of $100 on campus; $200 off campus. All bars have a beverage minimum of $150. For events that generate less than the minimum, the minimum will remain applicable. All groups are subject to a $35 delivery fee or a $50 delivery and retrieval fee. NonUniversity groups are subject to a 18% administrate fee.

Alcohol Policy

Alcoholic beverages must be served by our associates and consumed in contracted areas.

Heritage Kitchen Catering Equipment

At times our delivered menus may include equipment such as a coffee urn, platters or china. Pickup of equipment will be at the contracted end time of the event. During this time, all equipment, linen, and décor are the responsibility of the event planner and returned to catering upon the agreed pickup time.

Food Safety

Food and beverages may not be removed for the site of the event. Heritage Kitchen Catering will not provide to go boxes. Heritage Kitchen Catering will not cater events with another vendor’s service or products. To ensure compliance with health and safety regulations, all perishable food items served or provided shall not be left unrefrigerated or unreheated at room temperature for more than two (2) hours. Any food remaining out for longer than two (2) hours must be properly discarded to prevent the risk of foodborne illness

Service Ware and China

For your convenience, disposable service ware is provided with all orders to accommodate the guaranteed guest count and menu quantity. Should you desire china and glassware, the catering team will gladly provide a quote. Quotes may be adjusted close to the date of the event due to shipping costs. All china and linen rentals must be finalized and confirmed five business days prior to the event. Additional charges for any shipping costs/fees incurred due to lost or damaged equipment will be applied after the event.

Linen and Centerpieces/Floral

We are pleased to provide white house linen for all food and beverage service tables at your event. If you need additional or specialty tablecloths for non-food tables, we can arrange those for an additional fee.

While centerpieces and floral arrangements are typically handled by the event planner, we are more than happy to coordinate with local vendors to help you with these details upon request. Please note that additional fees may apply.

To ensure everything is beautifully set up, we kindly ask that linen and floral arrangements arrive three hours prior to the start of service.

Deposits for Office Campus Groups: For groups that do not have a purchase order number and are not directly affiliated with the TSU, we will require a 75% payment at the time of booking. The remaining balance is due seven business days prior to the event. A credit card must be kept on file for any additional charges that may be added during the event.

Cancellation Policy

While we hope that cancellations won’t be necessary, we understand that circumstances may arise. We kindly ask for cancellations be made in writing at least five business days’ prior to the contracted event date to avoid any charges. Cancellations within four business days incur a 50% fee; within 72 hours, 100% of the event price applies.If the campus closes due to inclement weather, catering will cancel all orders and do their best to notify event planners 48-72 hours in advance
